Trade fair funding is one of the oldest instruments of German foreign trade policy and reaches thousands of companies every year. Access follows clear rules, and the most important one concerns sequence: the application comes first, the binding registration second. Knowing that early keeps your options open.

Three routes, one goal

The funding landscape sorts itself by location and target group. First, the federal government supports joint participations at trade fairs abroad, known as the German Pavilion. Second, it supports young innovative companies at selected international leading fairs inside Germany. Third, all sixteen federal states run their own programmes, mostly for small and medium-sized companies based in that state.

These routes complement each other. A company from the Rhine-Main region can exhibit on a joint stand abroad in spring through a state programme and show its own presence at a leading fair in Germany in autumn. What matters is the condition set each programme publishes for the current year, because lists and terms are reissued annually.

German Pavilion: exhibiting jointly abroad

Under the federal foreign trade fair programme, Germany appears as host: a joint stand carries several German companies, each with its own space. AUMA coordinates the selection of fairs, and specialised implementing agencies organise the participation on site.

The appeal for exhibitors lies in the bundle. Stand construction, basic fittings, organisation and often services such as registration, catalogue entry and on-site support sit inside one participation fee that federal funding helps carry. That replaces a full calculation for a distant market and lowers the organisational effort considerably.

For 2026, AUMA reports 236 joint participations at fairs in more than 50 countries, backed by 44 million euros in the federal budget. South, East and Central Asia remains the leading region with around 95 participations. At the same time the number of German Pavilions fell by ten percent against the previous year, which sharpens the competition for available places. In practice: review the following year's programme early and submit your registration with the implementing agency promptly.

Young Innovators: young companies at leading fairs in Germany

For participation inside Germany, the federal government runs a dedicated programme for young innovative companies at selected international leading fairs. According to BAFA, it addresses companies younger than ten years that meet the EU definition of a small enterprise (fewer than 50 employees and an annual balance sheet total or turnover of at most ten million euros), have their headquarters and business operations in Germany and present a newly developed or substantially improved product.

Eligible costs are the stand rental and stand construction charges invoiced by the fair organiser. BAFA states a funding rate of 60 percent for the first two participations and 50 percent from the third onwards, capped at a total of 7,500 euros per exhibitor and fair, with a maximum of three participations at the same event. The route runs through the joint stand: exhibitors register with the fair organiser at the latest eight weeks before the fair starts and submit the application to BAFA directly afterwards.

State programmes: sixteen routes, one principle

Participation at fairs inside Germany is supported mainly by the federal states. Each state runs its own programme with its own budget and guideline, generally addressing small and medium-sized companies with a registered office or operating site in that state. Some states organise joint company stands, others grant a subsidy towards stand space rental for an individual presence, and many combine both.

Hesse, for instance, organises joint stands at selected international fairs abroad and accompanied delegation trips to leading fairs through Hessen Trade & Invest together with the working group of Hessian chambers of industry and commerce, supported by the state ministry of economics. Funding rates, upper limits, eligible sectors and application deadlines differ noticeably between states and between years. Reliable information comes from your state development bank or funding institute and from your local chamber of commerce.

One point applies almost everywhere: these grants run as de minimis aid. Companies therefore declare which de minimis aid they have received in recent years. Anyone drawing on public funding regularly keeps an eye on that ceiling.

Sequence decides whether the door stays open

Funding applies to projects still ahead of you at the time of application. Several states accept an informal application first, with the binding registration at the fair following once the funding body has confirmed receipt. Reversing that order usually costs the entitlement.

Three steps keep the path clear. First, settle the event and place it in the calendar with enough lead time before the registration deadline; our trade fair calendar helps with that. Second, choose the programme and check the requirements: company size, location, sector and type of participation. Third, apply, wait for confirmation, register, collect evidence.

Invoices carry the proof of use. Have stand rental and stand construction shown separately and keep quotations structured so that eligible items are visible at first glance. That saves queries and speeds up payment.

What funding changes in stand planning

On a joint stand, the system construction, stand depth and floor area set the frame. Creative freedom then sits in graphics, exhibit presentation, lighting and stand staffing, and that is exactly where impact is decided.
